Glasgow based not for profit organisation has a requirement for an experienced Factoring/Property Officer to join their team on a fixed term contract basis for 5 months.

Reporting to the Factoring Manager, this role will involve supporting on the day to day running of their c800 properties.

  • Ensure that finance and maintenance services to factored owner properties are consistent and to a high professional standard
  • Support the Factoring Manager with development of good practice in factoring policy and procedures
  • Respond effectively to customer complaints at Stage 2 level using the formal complaints procedure and recording software.
  • Ensure that the apportionment of responsibilities and costs are consistent with Title Deeds, Written Statement of Service and or legal agreements and in line with the Code of Conduct under the Property Factors (Scotland) Act 2012
  • Implementing and liaising with owners on Maintenance Plans for Buildings
  • Responsibility to ensure that the debt recovery process is being followed efficiently and effectively.
  • Dealing with Shared Ownership sales
  • Liaising with solicitors on sales of factored owners properties
  • Holding Meetings with potential new business customers
  • Liaising with other departments to ensure information is provided to customers within the correct timescales
  • Carrying out Estate Management visits including joint visits and then liaising with other departments to review standards of service
  • Act as a point of contact with factoring assistants for owners on insurance queries. 
  • Responsible for coordinating the legal, financial and operational responsibilities in relation to the market rented properties.
  • Carrying out 6 weekly and 6 monthly visits and viewings of flats with applicants
  • Ensuring that the service provided to market tenants is to a professional standard.
  • Support the Factoring Manager with business development and growth opportunities.

Skills and experience required:

  • Excellent customer care and communication skills; written and face to face
  • Ability to work well alone and as part of a team
  • Supervisory experience is desirable
  • Expected to be a competent at making decisions relating to day to day running of the service
  • Relevant Factoring Experience within the Housing Sector is preferred
  • Excellent ICT skills, including use of Microsoft Office
