An exciting opportunity has arisen within a leading vehicle management organisation for a Client Services Administrator to join their busy sales and service team.

This role will manage after-sales queries directed into the Client Services team. Offering immediate assistance to outsourced vehicle customers. Reporting to the Client Services Team Leader, this role will involve:

  • Management of all after-sales queries
  • Deal with all queries accurately and efficiently
  • Manage all requests for purchase prices, early terminations, contract amendments and collections
  • Issue relevant paperwork to clients/partners/associates
  • Update customers on the progress of each query/request received
  • Update the inhouse system to reflect any changes that have been made to a contract, collections, early terminations and if there have been any issues with a vehicle and make sure all notes are documented
  • Communicate professionally with internal staff and deliver solutions when issues arise
  • Dealing with and responding to day to day enquires and emails/calls from customers
  • Running monthly vehicle reports
  • Arrange vehicle movements – liaising with drivers/movements agent and emailing confirmations/ updating system
  • Ad hoc tasks as required by Client Relationship Manager
  • Provide assistance to Major Accounts customers
  • In Life queries including extension/purchase prices and contract amendments
  • Log, save and send all fines, monthly reporting and related queries
  • Raise monthly invoices, monthly reporting, and queries
  • Finance Administration - Raise invoices on sage, update inhouse system and the invoicing spreadsheet
  • Maintain all filing systems and records
  • Order, receive, log and reconcile invoices each month
  • Scanning
  • Ad hoc tasks as required by Client Relationship Manager

Skills and experience required:

  • Administrative experience is essential to this role – as is previous experience within a Customer Service environment
  • Excellent communication skills, ability to show empathy to customers and be able to go above and beyond to provide efficient/effective customer service management
  • Attention to detail and highly organised
  • IT Proficient – Word, Excel and Outlook. Ability to navigate around multiple systems
  • Ability to manage customer complaints and provide a successful outcome

Please note: This role/team working pattern runs on a 3-week rota with full-time hours between 8am and 5.30pm.
